Privacy policy

MarineIdeas is a maritime hiring and knowledge platform operated by Exaqube ("we", "us"). This policy explains what personal data we handle when you visit marineideas.com, create an account, or use the platform as a candidate or as part of an organisation. For any privacy question, write to contact@exaqube.com.

We collect only what the platform needs to work:

• Account details: your name, email address and sign-in information. Sign-in is handled by our authentication provider, so we do not store your password.
• Profile details: anything you add to your profile, such as a photo, phone number, LinkedIn link, work history and skills, and the visibility choices you make for each.
• Resumes: files you upload, or that a recruiter uploads on your behalf before inviting you, and the information we extract from them.
• Assessments and certifications: your answers, scores, results and certificates. During a proctored assessment we also record webcam snapshots and integrity events such as switching browser tabs.
• AI interviews: the transcript of the interview and, where enabled, the audio of your answers.
• Organisation details: for organisation users, the company name, email domain, job descriptions, documents and hiring activity.
• Payments: plan and transaction records. Card and bank details are entered with our payment provider and never reach our servers.
• Usage data: pages visited and basic device and browser information, through analytics cookies (see our cookie policy).
• Messages: questions you send through the contact form or by email.

• To run your account and the features you use.
• To analyse resumes against job descriptions and rank applications for the organisation you applied to.
• To deliver, score and certify assessments, including grading written answers and checking that the person taking a proctored assessment matches the profile photo.
• To conduct and grade AI interviews.
• To issue certificates and let anyone verify them through a public verification link.
• To send service emails, such as invitations, results and account notices.
• To process payments, prevent abuse, keep the platform secure and improve it.

We use AI models to extract information from resumes, score how a resume fits a job, grade written assessment answers, and grade interview transcripts. Identity checks that compare webcam snapshots with your profile photo are advisory only: they are shown to the reviewing recruiter or administrator and never change a score or decide whether an attempt is accepted.

Hiring decisions are made by the organisation you applied to, not by MarineIdeas. If you believe a result is wrong, contact us at contact@exaqube.com and we will review it.

• Organisations you apply to or are invited by see your application, resume, assessment and interview results, and proctoring records for their own hiring.
• Organisations searching the talent pool see the profile details you have chosen to make visible.
• Anyone with your public profile link or certificate link sees what you have made public and the certificate details needed to verify it.
• Our administrators can access records to support users, resolve disputes and keep the platform safe.

We do not sell personal data. We share it only with providers that help us run the platform:

• Clerk for sign-in and account security.
• OpenAI for the AI features described above, including the live interview audio, which travels directly between your browser and OpenAI.
• Cloud database and S3-compatible file storage providers for records, resumes, photos, snapshots and certificates.
• Resend for sending email.
• Razorpay for payments.
• Google Analytics for anonymised usage statistics.

These providers may process data outside your country. We also disclose data where the law requires it, or to protect our users and the platform.

We keep your data for as long as your account is active and for as long as an organisation needs your application records for its hiring. Certificates stay verifiable until you ask us to withdraw them. When you ask us to delete your account, we delete or anonymise your personal data, except where we must keep records for legal, accounting or dispute purposes.

• Update your profile and visibility settings at any time from your profile page.
• Ask for a copy of your data, a correction, or deletion of your account.
• Object to, or ask us to restrict, how we use your data.
• Ask us not to feature you in posts that congratulate certified candidates.

To use any of these rights, write to contact@exaqube.com from the email address on your account. We will reply within 30 days.

Data is encrypted in transit. Files are kept in private storage and opened through short-lived signed links, certificates are signed so they cannot be forged, and access inside an organisation is limited by role. No system is perfectly secure, so please tell us at contact@exaqube.com if you notice anything that looks wrong.

MarineIdeas is for professionals and is not intended for anyone under 18.

We will update the date at the top of this page when the policy changes, and tell account holders by email about any significant change.
